School Leaving Certificate Name Correction in West Bengal: It Starts at the Admission Register
Every board correction in West Bengal rests on two things from your school: an attested page of the admission register, and a letter in which the Head of Institution explains how the mistake occurred. The board's own form asks for that explanation. Get those right and the rest is paperwork; get them wrong and no amount of affidavits will move the file.

How a School Record Correction Actually Works (Quick Answer)
Start at the school. Ask to see the admission register page, because it is the source record and it decides whether your case is a correction at all. If it carries the correct name, the school attests a photocopy of that page and the Head of Institution writes how the mistake occurred, which the board's correction form specifically asks for. Add the birth registration certificate attested by a gazetted officer or a D.I. of Schools, the transfer certificate from the school last attended, and the registration certificate, admit card, marksheet and pass certificate attested by the Head. The board fee is stated as Rs 1,000 per application, by cash challan in triplicate. The school forwards everything; you do not file directly. A date of birth correction sought more than five years after passing needs the Board's prior permission.

| Item | Who provides it | Note |
|---|---|---|
| Admission register page | The school | Attested photocopy by the Head of Institution |
| Explanation of how the mistake occurred | The Head of Institution | A field on the board's correction form |
| Attestation of marksheets and certificates | The Head of Institution | Registration certificate, admit card, marksheet, pass certificate |
| Forwarding the application | The school | Applications go through the institution, not direct |
| Birth registration certificate | You | Attested by a gazetted officer or a D.I. of Schools |
| Transfer certificate | You, from the school last attended | Endorsed by that Head of Institution |
| The fee | You | Stated as Rs 1,000, by cash challan in triplicate |
| Gazette, where needed | You | Only where the register carries the same wrong name |

School Admission Register: Does It Show a Genuine Name Error?
The register is where your name entered the school system, and everything after it, the registration certificate, the admit card, the marksheet, the pass certificate, was copied forward from there. So the board's first question is what the register says.
Register correct, certificate wrong: a clerical error somewhere in the copying, and that is exactly what the correction route is for.
Register carries the same wrong name: nothing was miscopied. The school recorded what it was given, and the request is no longer a correction but a change of name.
One detail that catches schools rather than students: the instructions expect that each column of every page of the register has been recorded and signed. A register with gaps or unsigned columns weakens the attested extract, and some older schools discover this only when a page is asked for.
Ask to see it, politely
You are entitled to know what your own entry says. A short visit to the school office, with your marksheet in hand, answers the only question that matters before anyone spends money.
Head of Institution Letter Explaining the Name Mistake
The board's correction form does not simply ask what is wrong. It asks the Head of Institution to explain how the mistake occurred. That single field does a lot of work, because it converts your claim into the school's own account of its records.
A good explanation is short and factual: the register records the name correctly, the entry sent for registration in a stated year carried a transposed letter, and the error was carried forward into the admit card and marksheet. A weak one says only that the name is wrong and requests correction, which tells the board nothing it did not already know.
We cannot write it, and neither can anyone else
This letter has to come from your Head of Institution, from the school's own knowledge of its records. Anyone offering to supply it is offering something they are not in a position to give.
Documents Required for School Leaving Certificate Name Correction
- Attested photocopy of the relevant admission register page, attested by the Head of Institution
- Birth registration certificate, attested by a gazetted officer or a D.I. of Schools
- Registration certificate, admit card, marksheet and pass certificate, attested by the Head of Institution
- Transfer certificate from the school last attended, with that Head's endorsement
- The completed correction form, signed by the Head of Institution
- The fee challan
- Gazette notification, where the case is a change of name
- Originals produced where the office asks to see them
Incomplete or tampered documents are not entertained. Photocopies are attested; do not send a file of unattested scans and hope.
School Name Correction Without a Birth Certificate
Plenty of births in earlier decades were never registered, and the instructions allow for it. Where the original birth registration certificate is unavailable, other evidence is contemplated, including a baptism certificate, a discharge certificate from the hospital or nursing home where the child was born, or a caste certificate prepared before registration and issued by the competent authority, each attested appropriately.
There is also a specific rule worth knowing: where a corrected birth registration certificate is produced, a photocopy of the earlier incorrect one is also asked for. The board wants to see the change, not just the result.
Fix the birth record first where you can
If the birth certificate itself is wrong, the Registrar route comes before the board. Correcting a birth certificate in West Bengal.
School Record Name Correction Fee and Where to Pay It
The WBBSE record correction form states a fee of Rs 1,000 for each application. It is deposited by cash challan filled in triplicate at the Board's cash section, at 77/2 Park Street, Kolkata 700016 for districts under the Kolkata Regional Council, and at the concerned Regional Examination Council Office for other districts.
Note the shape of that: the fee is paid after approval of the correction by the competent authority, not as a booking fee at the start. Anyone collecting it from you before the board has approved anything is collecting it for themselves.
Confirm the current figure
Fees and offices change. Read the fee on the current form on the board's own site rather than from any article, this one included.

Name Correction When Your School Has Closed or Lost Records
A school that no longer exists cannot attest a register page or write an explanation, and that removes the two things a normal application is built on. It is not hopeless, but it changes the approach.
- Gather everything that survives from the period: the transfer certificate, registration certificate, admit card, old marksheets
- Ask the regional council office directly what it will accept where the institution is defunct
- Expect the gazette to carry more weight here, since the school cannot corroborate anything
- Where records are gone entirely, take legal advice before spending, because the answer may be a court declaration rather than a board application
Amalgamated schools
Where a school merged rather than closed, the successor institution often holds the old registers. Ask the regional office which school inherited the records before assuming they are lost.
When a Gazette Is Needed for a School Certificate Name Change
Not for a clerical error the register itself supports. It becomes necessary where the register carries the same wrong name, where the request is a genuine change of name, or where the school cannot verify the position. The form itself notes that name corrections beyond a spelling mistake should be taken up with the authorities.
Fix the exact new name
Used identically on the affidavit, both newspapers and the school's application.

Notarised for the central route; before a First Class Judicial Magistrate for the state route, since that portal asks for the affidavit number and the Magistrate's name. For a student under 18 the parent deposes.
Notices in two daily newspapers
One Bengali and one English daily, complete pages kept with masthead and date.
Apply on the right portal
Gazette of India for a student under 18, because the state gazette is open only to applicants aged 18 and above. Kolkata Gazette Part II for an adult with no passport involved.
Pay the fee

School Record Correction: Frequently Asked Questions
Where does a school certificate correction actually start?
At the school, with the admission register. Every board application is built on an attested extract of the register page and a letter from the Head of Institution, and the board form itself asks the Head to explain how the mistake occurred. Until the school has looked at its register and is willing to write that explanation, there is no application to make.
What is the Head of Institution letter?
A written explanation, on the school's letterhead, of how the wrong entry came about, whether it was a clerical slip in copying from the admission form, a transcription error when records were sent to the board, or something else. The board's correction form has a field for it. A clear, factual account carries a file; a vague one stalls it.
Does the admission register have to be complete?
Yes, and this catches schools out rather than students. The instructions expect that each column of every page of the admission register has been recorded and signed. A register with gaps or unsigned columns weakens the attested extract, and older schools sometimes discover the problem only when someone asks for a page.
What does the board correction cost?
The WBBSE record correction form states a fee of Rs 1,000 for each application, deposited by cash challan filled in triplicate at the Board's cash section, at 77/2 Park Street, Kolkata 700016 for the districts under the Kolkata Regional Council, or at the concerned Regional Examination Council Office for other districts. Fees change, so confirm on the current form.
Which documents support the correction?
The attested admission register page, the birth registration certificate attested by a gazetted officer or a D.I. of Schools, the registration certificate, admit card, marksheet and pass certificate attested by the Head of Institution, and the transfer certificate from the school last attended. Photocopies are attested, and originals are produced where asked.
What if the birth certificate is not available?
The instructions allow other evidence in its place, including a baptism certificate, a discharge certificate from the hospital or nursing home where the child was born, or a caste certificate that was prepared before registration and issued by the competent authority, attested appropriately. Where a corrected birth certificate is produced, a copy of the earlier incorrect one is also asked for.
Is there a time limit?
For a date of birth correction, applications made more than five years after the year of passing or appearing require prior permission from the Board's authority. Name corrections are treated more flexibly, but an old case is always harder than a recent one.
What if my school has closed or lost the records?
Take whatever survives: the transfer certificate, the registration certificate, old marksheets, and any document from the period showing the correct name. Ask the board's regional office directly what it will accept, since a school that no longer exists cannot write the explanation the form expects. This is the situation where a gazette becomes most useful.
I studied through open schooling. Is it different?
Yes. The West Bengal Council of Rabindra Open Schooling runs its own correction form through the study centre coordinator or the Head of the study centre, with particulars taken from the admission register of the recognised qualifying school and the class VIII transfer or school leaving certificate. Apply through your study centre.
Do I need a gazette for this?
Not for a clerical error the register itself supports. A gazette is expected where the request is a change of name rather than a correction, where the register carries the same wrong name, or where the school cannot verify the position. The form itself notes that name corrections beyond a spelling mistake should be taken up with the authorities.
Where do the applications go?
WBBSE at 77/2 Park Street, Kolkata 700016, or the Regional Examination Council Office for your district. WBCHSE at Vidyasagar Bhawan, 9/2 Block DJ, Sector II, Salt Lake, Kolkata 700091. Applications are forwarded through the institution rather than submitted directly, except where the board allows otherwise.
Can you write the school letter for me?
No, and nobody honest can. That letter has to come from your Head of Institution, on the school's own knowledge of its records. What we prepare is the gazette notification and the supporting documentation where the case needs it.
