Kendriya Vidyalaya Admission Name Mismatch: No Appeal After a Wrong Certificate
Parents fill the Kendriya Vidyalaya (KV) admission form online, often in a hurry, and type the child's name the way they remember it. At verification the school reads the birth certificate or transfer certificate. The KVS guidelines are blunt: an admission secured on a wrong certificate is cancelled by the Principal, and no appeal is entertained. This page shows which document decides, what to fix first, and what to carry.

Kendriya Vidyalaya Name Mismatch (Quick Answer)
For KV Class I, the age proof is a birth certificate issued by the authority that registers births; for other classes, it is the transfer certificate from a recognised school. Type the child's name and date of birth exactly as that document shows them. If the birth certificate has no name or a wrong spelling, get it corrected first at the local body; that is free or low cost. KVS guidelines say a wrong certificate leads to cancellation with no appeal.
| Class | Age and name document |
|---|---|
| Class I | Birth certificate from the birth registering authority |
| Class II to VIII | Transfer certificate; admission may go ahead without TC if the birth certificate is from a government body |
| Class IX and above | Transfer certificate from a recognised school |
About Kendriya Vidyalaya Admission in West Bengal
Kendriya Vidyalaya Sangathan (KVS) runs the Kendriya Vidyalayas, central government schools found in cities, cantonments and project towns across West Bengal. Priority goes to children of transferable central government employees, then to other categories set out in the admission guidelines.
Class I admission is through an online form. For Class I, the child must be 6 years old on 31 March of the admission year.
Admission to other classes depends on vacancies and is usually handled by each Vidyalaya. Class XI admissions follow the board results.
The KVS admission guidelines are revised from time to time. Read the version for your year and the notice of the Vidyalaya you are applying to.
The KVS Rule on Wrong Certificates
The KVS admission guidelines say that admission secured on the basis of any wrong certificate or information shall be cancelled by the Principal forthwith, and no appeal against that action will be entertained. The 2026 to 27 version repeats this and gives the residential address and its distance from the KV as examples.
A spelling difference is not the same as a false certificate. But a child's name typed one way on the form and another way on the birth certificate invites questions you do not want at the admission desk. The safe course is to make the papers agree before you apply.
Class I: When the Birth Certificate Has No Name or a Wrong Name
For Class I, KVS accepts a birth certificate issued by the authority competent to register births, which includes a municipality, municipal corporation, notified area council, or an extract from the village panchayat's records. The school returns the original after checking it.
In West Bengal, many birth certificates were issued without the child's name. Get the name entered by the local body that registered the birth before the KV form opens. If the name is misspelt, that is a correction by the Registrar, not a gazette matter. See name change in a child's birth certificate and birth certificate name change.
Then type the child's name on the KV form exactly as the corrected certificate shows it.
Class II and Above: The Transfer Certificate
For other classes, KVS accepts the date of birth recorded in the transfer certificate issued by a school recognised by the State Education Department. Up to Class VIII, admission may be granted without a TC if the child is otherwise eligible and has a birth certificate from a government body.
The TC carries the name from the old school's admission register. If it is wrong, ask that school to correct the register and reissue the TC before you apply. Our page on school leaving certificate correction explains how. For older children, see marksheet and school certificate correction.
Parent's Name on the Service Certificate and Residence Proof
KV admission also reads the parent's papers. A transferable central government employee gives a service certificate from the head of office, showing transfers in the last seven years, with name and designation in block letters. Every parent gives proof of residence.
If the parent's name on the service certificate differs from the name on the child's birth certificate, for example S. K. Das against Sanjay Kumar Das, carry a one and the same person affidavit. If the birth certificate itself has the father's or mother's name wrong, that is a Registrar correction at the local body.
If you claim a category, the certificate must carry the child's name correctly. See caste certificate correction.
Child's Aadhaar and APAAR ID in KV Admission
The KVS admission guidelines we read do not make Aadhaar the age or name proof. The birth certificate and TC are what count. But Aadhaar is used across school records, so a child's Aadhaar should match the birth certificate too.
If it does not, correct Aadhaar with the birth certificate as proof; UIDAI allows a name change only twice in a lifetime. See name change in Aadhaar for a child. Once the child is in a KV, the school creates the APAAR ID from its records and Aadhaar; see APAAR ID name mismatch.
What to Carry for Kendriya Vidyalaya Admission
Expect the Vidyalaya to ask for originals and self-attested copies of:
- Birth certificate (Class I) or transfer certificate (other classes)
- Proof of residence
- Service certificate of the parent, where the parent is a government employee
- Caste, OBC or EWS certificate, if claimed
- Any linking affidavit, if a spelling still differs
Check the list in the notice of the Vidyalaya you apply to, because schools sometimes ask for more.
If the Child's Name Has Really Changed
If the child's name has really changed, for example after adoption or a change of surname, the papers will not match on their own. A minor cannot use the Kolkata Gazette, so the route is the central Gazette of India. See surname change for a child and gazette name change for a minor.
A gazette is supporting proof. The birth certificate, TC and Aadhaar still need correcting one by one.

Get the name entered by the local body that registered the birth before you apply.

My name differs between my service certificate and my child's birth certificate. Is that a problem?

Will a wrong address cancel the admission?
The 2026 to 27 guidelines name the residential address and its distance from the KV as examples.
What if the child's name has really changed?
Minors use the central Gazette of India, then each record is corrected one by one.
