Degree Certificate Name Correction in West Bengal: Whose Error Was It?
Two students with the same misspelt name can get opposite answers from the same university, and the reason is simple. If the university mistyped a name you gave correctly, its record is wrong and it fixes it. If the wrong name went in on your own admission form, the record is a faithful copy of what you submitted, and the office may decline to treat it as a clerical error. Work out which you are before you apply.

How to Correct a Name on a Degree Certificate (Quick Answer)
Apply through your college to the university's examination or academic section, since universities rarely accept a direct request without institutional verification. Take your Class 10 certificate, which is treated as the strongest proof of a name, along with the admission form, registration certificate and all marksheets. The outcome turns on whose error it was: a university mistype is corrected as clerical, while a wrong name entered on your own admission form may be refused as a correction. No gazette is needed for a plain clerical fix, but one is expected for a genuine change of name, initials expanded, or a surname added or removed. Approval rests with the Controller of Examinations or the Registrar, commonly in 30 to 90 days. If refused, get the reasons in writing.

| What happened | How it is treated | Gazette? |
|---|---|---|
| University or college mistyped a correctly given name | Clerical correction against the record | No |
| Marksheets are right but the degree is wrong | Clerical, and easy to evidence | No |
| You wrote the wrong name on the admission form | The record is faithful; may be refused as clerical | Often, plus stronger evidence |
| Initials to be expanded into full names | Treated as a change, not a correction | Yes |
| Surname added or removed | Change of name | Yes |
| New name after marriage or by choice | Change of name | Yes |
| Old degree, records unavailable, or already refused | Legal route | Yes, usually with a court direction |

University Error or Your Error: What Decides a Degree Name Correction
The university's error. You gave the name correctly on the admission form, and somewhere between that form and the printed certificate a letter changed. The institution's record is wrong, the evidence for that sits in its own files, and correcting it is exactly what the clerical correction route exists for.
Your error. The wrong name went in on the admission form in the first place, perhaps because a school form had already carried it, perhaps because it was filled in a hurry. Now the university's record is a faithful copy of what you submitted. Nothing in its files shows an error, so the office may decline to call it clerical, and the request starts to look like a change of identity instead.
How to find out
Ask your college for a copy of your admission form and your university registration certificate. If the correct name is on them and the degree disagrees, you have a strong clerical case. If the wrong name is already there, plan for the gazette route and say so honestly in your application; offices respond far better to a candid account than to a claim that does not survive their own file.
Why Universities Check the Class 10 Certificate First
Universities treat the Class 10 certificate as the most authoritative statement of a name, because every academic record after it was built from it. A degree, a registration certificate and a marksheet are downstream documents; the board certificate is close to the source.
So the strongest file is the one that shows a straight line: Class 10, Class 12, the admission form, the registration certificate, the marksheets, and finally the degree, with the disputed spelling appearing at exactly one point in that chain. When the odd spelling appears only on the last document, the case answers itself.
If the error starts at Class 10
Then fix the board record first, because the university will read it. The WBBSE and WBCHSE route runs through your school, and a degree corrected above an uncorrected board certificate simply moves the inconsistency.
How to Apply: Through Your College to the University Examination Section
Write to the college first
A written application setting out the error, what the record should say, and which documents prove it. Most universities will not take a direct request without institutional verification.
The college verifies and forwards
It checks its own admission and examination records and sends the file onward with its endorsement.
The examination or academic section examines it
Against the registration certificate, the admission record and the examination forms. Use the university's own affidavit format where it publishes one, as the University of Calcutta does.
Approval and issue
Usually by the Controller of Examinations or the Registrar. Some universities issue a fresh certificate, others an official correction endorsement against the original. Ask which yours does.
Kolkata Gazette Part II Process for a Degree Name Change
Where the case is not clerical, the gazette is the government-recognised proof the university wants. An adult resident of West Bengal with no passport involved uses the Kolkata Gazette Part II, published in about a week.
Fix the exact new name
Spelling, spacing and surname order, decided once and used identically on the affidavit, both newspapers, the gazette application and the university file.
Affidavit before a First Class Judicial Magistrate
The Part II portal asks for the affidavit number and the Magistrate's name, so a notary will not serve for this route. Sign in the old name.
Notices in two daily newspapers
One Bengali and one English daily, classified text under change of name. Keep the complete pages with masthead and date.
Apply on the Part II portal
Change of Name, or Change of Surname where only the surname moves, with identity proof under 2 MB and a photograph under 100 KB.
Pay Rs 1,100 on GRIPS
The state fee, online, against your own reference.
Download within about a week, then file
Issued within 7 days of a complete file. It goes to the university with the college's forwarding letter and the prescribed affidavit.
Central Gazette Process for a Degree Name Change
Use the Gazette of India where a passport is also being changed, which covers most graduates heading abroad, or where you live outside West Bengal. Same adult fee, several times longer, so start it early.
Fix the exact new name
Everything after this copies it: the affidavit, both newspapers, the proforma, Aadhaar, the passport and the degree.
Notarised affidavit
On non-judicial stamp paper in your own name, giving the old name, the new full name, parentage, address and the reason, with the one-and-the-same-person declaration. A notary is enough here, unlike the state route. Sign in the old name and swear it close to filing.
Notices in two daily newspapers
One Bengali and one English daily. Keep the complete pages, not clippings, and buy two or three copies of each.
Typed proforma with two witnesses
The Department of Publication's own proforma, typed rather than handwritten, signed by two witnesses who sign in your old name.
Pay on BharatKosh
Rs 1,100 for an adult, Rs 1,700 for a minor, higher for an applicant living abroad, plus a charge per alias.
Post the file to Delhi in your own name
To the Department of Publication, Civil Lines, Delhi 110054, with the soft copy and a certificate that it matches the typed text. Agents may not file in their own name.
Publication, then the free download
Usually 30 to 45 days, downloaded free from egazette.gov.in. Check it the same day; the corrigendum window is limited.
State or central, in one line
No passport, adult, living in West Bengal: state, about a week. Passport involved, or outside the state: central, 30 to 45 days. A graduate applying abroad almost always needs the central route.
Degree Name Correction Time Limits and Processing Time
University-level processing is commonly quoted at 30 to 90 days once the college has forwarded the file, and longer where the case is scrutinised or referred upward. A gazette in front of that adds about a week for the state route or 30 to 45 days for the central one.
Universities also prescribe a period within which corrections should be sought. An application made long after graduation needs justification and is more likely to be pushed towards the gazette or the legal route, because the institution is being asked to alter something it certified years ago.
Working to someone else's deadline
Job verifications, foreign admissions and visa files run on their own clocks and will not wait for a university. If a deadline is coming, start with the gazette rather than the university, because that is the piece you control.
Name Correction in Medical, AYUSH and Professional Degrees
Professional degrees are examined more closely, because the name on the degree has to match a council registration that governs the right to practise. Expect more documents, a longer look at the file, and less appetite for anything that resembles a change of identity rather than a correction.
Deal with the council in the same round as the university. A corrected degree sitting above an uncorrected registration is the mismatch that surfaces at a hospital appointment or a licence renewal, which is precisely when you cannot afford it.
Ask the council first
What it will accept as proof, and whether it wants the corrected degree or the gazette or both. That answer often shapes how the university file should be built.
If the University Refuses Your Degree Name Correction
First, ask for the refusal in writing, with reasons. Nothing further is possible without it, and a verbal refusal at a counter is not something anyone can act on. The reasons also tell you which of two paths you are on.
Fixable reasons, such as missing documents, an affidavit in the wrong form, or a file that was never properly forwarded by the college, can be cured and resubmitted with a stronger file.
Substantive reasons, such as a time bar or a record that simply does not support the request, are not cured by resubmission. There the remedy is judicial, and institutions comply where there is a clear judicial direction.
Where our work stops
We prepare gazette notifications and documentation. Proceedings against a university are litigation and need a lawyer. Anyone who offers to reverse a university refusal for a fee, without going to court, is describing something they cannot do.
Mistakes That Get a Degree Name Correction Rejected
Applying without seeing your own admission form
It decides whether your case is clerical. Get a copy first.
Going direct to the university
Most will not act without the college's verification and forwarding.
Correcting the degree while the board certificate is still wrong
The university reads Class 10. Fix the source first.
Using a general affidavit where a format is prescribed
Universities that publish a format expect that format.
Accepting a verbal refusal
Ask for it in writing with reasons, every time.
Starting a month before a deadline
Thirty to ninety days at the university, plus the gazette. Work backwards.
Degree Certificate Name Correction: Frequently Asked Questions
How do I get my name corrected on a degree certificate?
Apply in writing to the university's examination or academic section, through your college, setting out the error and what the record should say. The university verifies against its admission and examination records, and where they support you, a corrected certificate or an official endorsement is issued. Approval usually rests with the Controller of Examinations or the Registrar.
Does it matter who made the mistake?
Very much, and this is the part nobody explains. If the college or university mistyped a name that was correctly given, the record is wrong and the institution corrects it. If the wrong name was entered by the student on the admission form, the university's record faithfully reflects what was submitted, and it may decline to treat it as a clerical correction. The same misspelling can therefore have two completely different answers.
Which document proves my correct name to a university?
The Class 10 certificate is generally treated as the most authoritative name proof, because everything after it was built on it. Bring that first, with your admission form, registration certificate and earlier marksheets.
Will I get a new certificate or just a correction slip?
It depends on the university. Some issue a fresh certificate, others issue an official correction endorsement recorded against the original. Both are valid; ask which yours does so you know what to expect when an employer asks for the original.
Do I need a gazette?
Not for a straightforward clerical correction that the records support. A gazette is expected where the request is a genuine change of name, an expansion of initials into full names, the addition or removal of a surname, or where the university asks for government-recognised proof because the case is not clearly clerical.
How long does it take?
University-level processing is commonly quoted at 30 to 90 days once the college has forwarded the file, and longer where the case is scrutinised or referred upward. Add a gazette in front of that if one is needed.
Is there a time limit?
Universities generally prescribe one, and applications made long afterwards need justification. Older cases are more likely to be routed to a gazette or a court. That does not mean an old degree cannot be corrected, only that it costs more effort than it would have at the time.
What if the university refuses?
Ask for the refusal in writing with reasons, because nothing further can be done without it. Depending on those reasons, the file can sometimes be strengthened and resubmitted, with the gazette and the underlying records assembled properly. Where the refusal stands, the remedy is judicial and needs a lawyer.
Are professional degrees treated differently?
In practice yes. Medical, AYUSH and similar degrees attract stricter scrutiny because the name has to match a professional council registration. Expect more documents and a longer look at the file, and deal with the council registration in the same round.
Can I correct my parent's name on the degree?
Yes, on the same footing: it has to match the academic record, and where the parent genuinely changed their own name, it is that parent's gazette which supports it.
Should I fix the board certificates first?
Yes. Universities read the board certificates, particularly Class 10. Correcting a degree while the marksheet behind it still shows the old spelling leaves an inconsistency that a verification will find.
Do you handle degree corrections?
We prepare the gazette notification and the supporting documentation, and we will tell you plainly when your case is a clerical correction that needs neither. The application itself goes through your college and university, and a contested refusal is work for a lawyer.
