Share Certificate Name Change in West Bengal: The Order Decides Whether It Works
A Registrar and Transfer Agent checks your PAN against the request. If PAN still carries the old name, the file stops there, whatever else you sent. So the sequence is PAN and Aadhaar first, then the folio KYC, then the name change request. Get that backwards and you will be told no by three different offices before anyone explains why.

Name Change on Shares (Quick Answer)
Do it in this order. Update PAN and Aadhaar to the correct name. List every holding and which Registrar and Transfer Agent serves each company. Align the folio KYC, using Form ISR-1 for physical folios, and Form ISR-2 where the signature also needs updating. Then send the name request: to the RTA with the original certificate for physical shares, or to your Depository Participant for demat holdings. A spelling correction is proved by PAN and Aadhaar; a genuine change of name needs a marriage certificate, a decree or a gazette. And before sending certificates for dematerialisation, make sure the names already agree, because a mismatch stops the demat request.

| Situation | Where the request goes | What proves it |
|---|---|---|
| Shares in demat form | Your Depository Participant | Updated PAN and Aadhaar, plus the link document |
| Physical certificates | The company's RTA, with the originals | The same, and a reissued certificate follows |
| Spelling wrong on the certificate | RTA | PAN and Aadhaar already carrying the correct name |
| Initials on an old certificate | RTA | Standardised norms apply; some RTAs still ask for an affidavit |
| Surname changed on marriage | RTA or DP | Marriage certificate, usually without a gazette |
| Genuine change of name | RTA or DP | Gazette notification, state or central |

Share Name Change Order: PAN First, Then Folio KYC, Then the Name Request
This is the part that decides whether the rest of the work is wasted. An RTA verifies a name request against your PAN. If PAN still shows the old name, the request contradicts the identity document the RTA is relying on, and the file stops.
So the sequence is: PAN and Aadhaar updated, then the folio KYC brought into line, then the name change request with its supporting document. Each step rests on the one before it.
People do it backwards because the share certificate is the thing that looks wrong. Understandable, and expensive: three refusals arrive before anyone explains the sequence.
Send the Share Name Change Request to the RTA or DP, Not the Company
Demat holdings. The request goes to your Depository Participant, the broker or bank where the account is held. The holdings then reflect the new name without anything being printed. The DP route in full.
Physical certificates. The request goes to the company's Registrar and Transfer Agent, along with the original certificate, and a corrected certificate is reissued after verification.
Writing to the company's own head office is the common wasted step. The register of members is maintained by the RTA, and that is the office that acts.
Find the RTA first
Each listed company appoints one. The company's investor relations page names it, and it is worth confirming before you post original certificates anywhere.
Form ISR-1 and Folio KYC for Physical Share Certificates
For physical folios there is a standard framework of investor service request forms. Form ISR-1 is used to register or update PAN, bank details, signature, mobile number, email and address. Form ISR-2 covers a signature update with verification by your banker. Nomination has its own forms.
Two practical points. A single ISR-1 can generally cover several folios held with the same RTA, which saves repeating the exercise. And the folio KYC being in order is what lets the name request be considered at all.
Signature trouble
An old folio often carries a signature from decades ago. If yours has changed, deal with it through the signature route rather than hoping nobody compares, because a mismatch stalls the file exactly like a name mismatch does.
Share Certificate Spelling Correction vs Change of Name
Correction. The name you want is the name you have always had, and the certificate or folio simply records it wrongly. Your existing documents are the proof, ordinarily PAN and Aadhaar. No gazette.
Change of name. You are asking for a name you did not previously use. Then the supporting document is a marriage certificate, a decree, or a gazette notification, depending on why it changed.
Ask which one you are before spending anything. A marriage surname in particular usually needs only the certificate.
Say which it is in the letter
Stating plainly that this is a correction, with the documents that prove the name was always this, saves an RTA from treating it as a change and asking for a gazette you do not need.
Initials on Old Share Certificates: Expanding the Name
Certificates issued in the eighties and nineties routinely recorded names as initials, because that was ordinary practice then. PAN and Aadhaar spell the same name in full. The result is a folio and an identity document that describe one person in two ways.
SEBI issued standardised norms for exactly this kind of case in a circular of March 2023, so it is a recognised category rather than an oddity. In practice, investors report that some RTAs still ask for a notarised affidavit even for an abbreviation. It is reasonable to ask which norm the RTA is applying, and to be ready with an affidavit if it insists.
Inherited certificates
Old certificates often surface after a death, when the name problem and a transmission question arrive together. That combination is more than documentation, and it is worth taking advice rather than sending originals off hopefully.
Name Mismatch Blocks Dematerialisation of Physical Shares
Before physical certificates can be dematerialised, the ownership details on the certificate have to match the demat account they are going into. If the names differ, the request fails, and your original certificates have travelled for nothing.
So the check comes first: compare the certificate, the register held by the RTA, and your demat account. Reconcile any difference, then dematerialise. Doing it in that order also means the correction only has to be made once.
Worth doing anyway
Once holdings are electronic, this whole class of problem disappears for the future, because a name update at the DP flows through without certificates or reissues.
Shares in Several Companies: Every Register Needs Its Own Request
There is no central place where a name change reaches all your shareholdings. Each company's register of members is separate, served by its own RTA, so each needs its own request. Where one RTA services several of your companies, one form may cover those folios.
Make the list before you start: every company, whether the holding is physical or demat, and which RTA serves it. Otherwise the stragglers turn up years later, usually when somebody is trying to claim them.
The same logic as elsewhere
It is the point the bank records page makes about separate records inside one institution. Shares are the same problem across many institutions.
Kolkata Gazette Part II for a Share Name Change, Step by Step
The usual route for an adult resident of West Bengal with no passport involved. Published in about a week for a state fee of Rs 1,100.
Fix the exact new name
Spelt identically on the affidavit, both newspapers, the gazette, PAN, Aadhaar and every RTA request afterwards.
Affidavit before a First Class Judicial Magistrate
The Part II portal asks for the affidavit number and the Magistrate's name, so a notary will not serve for this route. Sign in the old name.
Notices in two daily newspapers
One Bengali and one English daily. Keep the complete pages with masthead and date, not clippings.
Apply on the Part II portal
Choose Change of Name, or Change of Surname where only the surname moves. Identity proof under 2 MB, photograph under 100 KB.
Pay Rs 1,100 on GRIPS
The state payment portal, paid online against your application number.
Download and send it on
Issued in about a week. Attach it to the RTA or DP request along with your updated PAN.
Gazette of India Route for a Share Name Change, in Detail
Used where a passport is also changing, where the holder is a minor, or where the shareholder lives outside West Bengal, which is common with shares since holdings follow people who have moved. Slower, at 30 to 45 days, and filed by post.
Swear a notarised affidavit
On stamp paper, before a notary. Unlike the state route, a notary is accepted here, which is why this route suits people who are not in West Bengal.
Publish a newspaper advertisement
Announcing the change. Keep the original newspaper page, since a clipping alone is often refused.
Prepare the deed changing name proforma
Typed, not handwritten, in the prescribed form, and signed by two witnesses with their addresses.
Sign in the old name
The deponent signs in the old name, and so do the witnesses. This is the step most often got wrong, and it sends the file back.
Pay on BharatKosh
Rs 1,100 for an adult, Rs 1,700 for a minor, and Rs 3,500 where the applicant is abroad. Keep the payment receipt for the file.
Post the file to the Department of Publication
At Civil Lines, Delhi 110054, in your own name. Agents are not permitted to file on your behalf, whatever anyone offers.
Download from egazette.gov.in
Published in 30 to 45 days and free to download. Check every letter of the notification when it appears, because the corrigendum window is limited.

Share Name Change: Frequently Asked Questions
Where do I even send a share name change request?
It depends on how the shares are held. For shares in demat form the request goes to your Depository Participant, the broker or bank where the account sits. For shares still in physical form it goes to the company's Registrar and Transfer Agent, the RTA, with the original certificate. People lose weeks writing to the company itself when the RTA is the office that maintains the register.
What is the right order to do this in?
PAN and Aadhaar first, then the folio KYC, then the name change request. An RTA checks your PAN against the request, so if PAN still carries the old name the file usually stops there. Doing it in the other order is the single commonest reason a share name change stalls.
What is Form ISR-1?
The standard investor service request form used for physical folios to register or update PAN, bank details, signature, mobile number, email and address. Form ISR-2 covers a signature update with banker verification, and there are separate forms for nomination. One ISR-1 can generally cover several folios held with the same RTA.
My old certificate uses initials and my PAN spells the name in full.
This is extremely common on certificates issued decades ago, when initials were normal practice. SEBI issued standardised norms for exactly this kind of case in a March 2023 circular, so it is a recognised category rather than an unusual problem. In practice some RTAs still ask for a notarised affidavit even for an abbreviation, so be prepared for that and ask which norm they are applying.
Does a name mismatch stop dematerialisation?
Yes, and this is the trap. Before you send physical certificates for demat, the ownership details on the certificate need to match the demat account. If they do not, the request fails and your certificates are in transit for nothing. Compare the certificate, the register and the demat account first, then fix the mismatch, then demat.
Is a spelling correction the same as a change of name?
No, and treating them the same is how people spend money they need not. A spelling correction is supported by documents already carrying the correct name, ordinarily PAN and Aadhaar. A genuine change of name needs a gazette notification, a marriage certificate or a decree, depending on why the name changed.
What if I changed my name after marriage?
The marriage certificate is ordinarily the linking document, produced with PAN and Aadhaar already updated. That is usually enough for the RTA or DP without any gazette, which is worth knowing before anyone sells you one.
How long does it take?
Reported timelines vary by RTA and by whether the holding is physical or electronic. A demat update is generally faster than a reissued physical certificate, since nothing has to be printed and posted. Ask the RTA or DP for its own turnaround and take an acknowledgement with a reference.
Do I get a new physical certificate?
For physical holdings, yes, the corrected certificate is reissued after verification. Which is a good moment to consider dematerialising, since electronic holdings avoid this whole category of problem for the future.
I hold shares in several companies. One request or many?
Each company's register is separate, so each RTA needs its own request. Where one RTA services several of your companies, a single form may cover those folios. Make a list of your holdings and which RTA serves each before you start, or you will discover the stragglers years later.
Which gazette do I need, the state one or the central one?
For an adult resident of West Bengal with no passport involved, the Kolkata Gazette Part II is the usual route and publishes in about a week. The Gazette of India is used where a passport is also changing, where the person is a minor, or where you live outside West Bengal, and it takes roughly 30 to 45 days. Both are set out on this page.
What do you handle?
The gazette notification, state or central, and the affidavit documentation that supports it. The RTA and DP forms are yours to submit, and where a marriage certificate or your existing PAN will do the job we will tell you that you do not need a gazette at all.
