Name Change in Bank Records in West Bengal: Not One Job, but Many

People treat this as a single errand and then find it unfinished for months. Every bank holds its own records and needs its own request. Inside each one, the passbook, cheque book, debit card and net banking profile all have to be checked. Deposits, loans, demat and insurance do not follow the account. And your signature is a separate request altogether.

How to Change Your Name in Bank Records (Quick Answer)

Update Aadhaar and PAN first, because banks work from KYC records and will check them. Then take the bank's own name change or KYC modification form to your home branch with the proof of the change, a gazette notification for a change of name, a marriage certificate for a marriage surname, or a decree after divorce, along with identity documents in both names. No Indian bank completes this online; some let you start it online but still require a branch visit for signature verification. Your account number does not change. Expect about 3 to 10 working days, less for a plain spelling correction. Afterwards, replace the cards and cheque book, and deal with deposits, loans, demat and insurance separately.

Update Aadhaar and PAN Before Your Bank Account

A bank does not take your word for a name. It works from KYC records, and the records it reads are your Aadhaar and PAN. Walking into a branch with a gazette and an old Aadhaar puts the clerk in an impossible position, because the documents you are asking them to rely on still show the previous name.

Banks say so themselves. Where a bank offers an online name change, the eligibility conditions typically require that your Aadhaar and PAN are already updated in the bank's records before you begin. That is not a formality; it is the whole basis of the check.

The order that works

Gazette or certificate, then Aadhaar, then PAN, then the banks. Doing the banks early is the commonest wasted trip in the whole exercise.

Checklist

Documents Required for Bank Account Name Change

  • The bank's own name change or KYC modification form
  • Only a misspelling? a correction needs far less than this
  • A written request to the Branch Manager stating the old name, the new name and the account number
  • Proof of the change: gazette notification, marriage certificate, or divorce decree or court order
  • Identity proof in the new name, updated Aadhaar and PAN
  • Something showing the old name, so the bank can connect the two
  • Recent photographs, where the bank asks
  • The passbook, and originals to be seen at the counter
  • For a business account, proof of the old and new name of the entity

Requirements differ between banks. Ring your branch or read its page before you travel, and carry several attested copies since you will repeat this elsewhere.

Step by Step

How to Apply for a Bank Name Change at the Branch

1

Go to your home branch

The branch where the account is held, not the nearest one, unless your bank says otherwise.

2

Fill the bank's form carefully

The new name spelt exactly as your gazette or certificate prints it, and exactly as Aadhaar now shows it. A variation here reproduces the problem you came to fix.

3

Submit with originals for verification

Photocopies with originals shown at the counter. Get an acknowledgement with a reference number.

4

Signature verification in person

This is why an online start still ends at a branch. Even banks that accept an online request need you present for this.

5

Wait, then confirm

Commonly 3 to 10 working days, and often quicker for a spelling correction. Check the records yourself afterwards rather than assuming.

Repeat

Every Bank Account Needs Its Own Name Change Request

There is no central register of bank customers that updates them all. Each bank keeps its own KYC records, and each needs the same application made again. The same set of documents works everywhere, so the cost is time rather than money.

Make a list before you start: the salary account, the old account nobody uses, the joint account with a parent, the account opened for a loan. The forgotten one is always the one that matters later, usually when a claim or a maturity payment is due.

Prepare once, use everywhere

Get five or six attested copies of the gazette or certificate made in one go. It is far cheaper than repeating attestation for each branch.

State Route

Kolkata Gazette Part II Process Before a Bank Name Change

Where the change is a genuine change of name rather than a marriage surname or a spelling fix. An adult resident of West Bengal with no passport involved uses the Kolkata Gazette Part II, published in about a week.

1

Fix the exact new name

Spelling, spacing and surname order, decided once and used identically on the affidavit, both newspapers, the gazette, Aadhaar, PAN and every bank form.

2

Affidavit before a First Class Judicial Magistrate

The Part II portal asks for the affidavit number and the Magistrate's name, so a notary will not serve for this route. Sign in the old name.

3

Notices in two daily newspapers

One Bengali and one English daily, classified text under change of name. Keep the complete pages with masthead and date.

4

Apply on the Part II portal

Change of Name, or Change of Surname where only the surname moves, with identity proof under 2 MB and a photograph under 100 KB.

5

Pay Rs 1,100 on GRIPS

The state fee, online, against your own reference. Nobody should collect it in cash.

6

Download within about a week

Issued within 7 days of a complete file. Then Aadhaar, then PAN, then the banks, with several attested copies made at the start.

Central Route

Central Gazette Process Before a Bank Name Change

The Gazette of India where a passport is also changing, where the account holder is a minor, or where you live outside West Bengal. Same adult fee, several times longer.

1

Fix the exact new name

Everything after this copies it, ending with the bank records.

2

Notarised affidavit

On non-judicial stamp paper in your own name, giving the old name, the new full name, parentage, address and reason, with the one-and-the-same-person declaration. A notary is enough here, unlike the state route. Sign in the old name.

3

Notices in two daily newspapers

One Bengali and one English daily. Keep the complete pages, not clippings, and buy two or three copies of each.

4

Typed proforma with two witnesses

The Department of Publication's own proforma, typed rather than handwritten, signed by two witnesses who sign in your old name.

5

Pay on BharatKosh

Rs 1,100 for an adult and Rs 1,700 for a minor, higher from abroad, plus a charge per alias.

6

Post the file to Delhi in your own name

To the Department of Publication, Civil Lines, Delhi 110054, with the soft copy and a certificate that it matches the typed text. Agents may not file in their own name.

7

Publication, then the free download

Usually 30 to 45 days, downloaded free from egazette.gov.in. Check it the same day; the corrigendum window is limited.

After the Bank Name Change: Cards, Cheque Book and Net Banking

The bank updates its records. It does not reprint your belongings. After approval, check each of these and ask for replacements where the old name is still showing:

  • The passbook, which may need reissue or an endorsed page
  • The cheque book, since cheques in the old name invite rejection
  • The debit and credit cards
  • The net banking and mobile app profile, which sometimes lags behind the core record

Why this matters more than it sounds

A card in the old name against records in the new one is exactly the mismatch you set out to remove. Merchants, payment gateways and verification systems read the card, not the file.

Separate Records

Fixed Deposits, Loans, Demat and Insurance Need Separate Updates

People assume that fixing the savings account fixes everything attached to it. It does not. Each of these is a separate record, sometimes with a separate institution behind it:

Ask one question at the branch

"Which of my products here does this request cover, and which need their own application?" Write the answer down. It is the difference between finishing this in a fortnight and discovering a gap three years later.

Commonly Missed

Does a Bank Name Change Change Your Signature? No

Your specimen signature is a separate record from your name, and a name change does not touch it. If you intend to keep signing as before, nothing needs doing. If you intend to sign differently now that your name has changed, that is its own request, with its own form and its own verification.

The trouble comes from doing it informally: updating the name, then starting to sign the new way on cheques the bank has no specimen for. Those get returned, and a returned cheque costs more than the form would have.

Decide deliberately

Either keep the old signature, which is perfectly lawful, or file a signature change request. What does not work is changing it quietly and hoping the branch keeps up.

FAQ & People Also Ask

Bank Records Name Change: Frequently Asked Questions

How do I change my name in my bank account?

Update Aadhaar and PAN first, because banks work from KYC records and will check them. Then take the bank's own name change or KYC modification form to your home branch with the proof of the new name, your identity documents in both names, and a written request. The bank verifies and updates its records, usually in about 3 to 10 working days.

Can I do it entirely online?

No Indian bank completes it online. Some, including HDFC and ICICI, let you start the request online, but a branch visit is still needed for signature verification. Treat any online step as the beginning rather than the whole process.

Does my account number change?

No. The account number belongs to the account, not to your name. Only the name on the records is updated, and everything linked to the account continues on the same number.

Do I have to do this at every bank separately?

Yes. Each bank holds its own records and each needs its own request, though the same set of documents will serve for all of them. Take several attested copies so you are not repeating the paperwork at each branch.

What does the bank want as proof?

It depends on why the name changed. A marriage certificate for a marriage surname, a decree or court order after divorce, and a gazette notification for a change of name in the ordinary sense. Alongside that, identity proof in the new name and, usually, something showing the old name so the bank can connect the two.

Is a spelling correction treated differently?

Yes, and more lightly. A misspelling is commonly handled on an affidavit declaring the correct spelling plus two identity documents already showing it, and is often done within a few working days rather than the longer timeline for a full change of name.

Does the name change automatically on my cards and cheque book?

No, and this is where people are caught out. After the records are updated, check the passbook, the cheque book, the debit card and the net banking profile, and request replacements where they still carry the old name. A card in the old name against records in the new one causes exactly the mismatch you were trying to fix.

What about my fixed deposits, loans, demat and insurance?

They do not update themselves. Anything linked to the account, deposits, loans, credit cards, demat and trading accounts, insurance policies and mutual fund folios, has to be dealt with on its own footing. Ask your branch which of them it can update in the same visit and which need separate applications.

Is my signature changed at the same time?

No, that is a separate request. Changing your name does not change your specimen signature, and if you intend to sign differently in future you have to apply for that on its own. Many people update the name and then find cheques rejected for a signature mismatch.

What about a business or a joint account?

Non-individual accounts, proprietorships, partnerships, companies, LLPs and trusts, are handled at the branch with proof of the old and new name of the entity, and the requirements differ from a personal account. For a joint account, expect the bank to want both holders present or at least informed.

What happens if I do not update it?

Your bank records disagree with your Aadhaar and PAN, which is a KYC mismatch. It surfaces at the worst moments: a large transaction queried, a loan application delayed, an insurance claim held up while the names are reconciled.

Do you handle bank applications?

We prepare the gazette notification and the supporting documentation that a bank asks for. The application at the branch is yours to make, and it is straightforward once the papers are right. Where your case needs no gazette, we will say so.
