Name Mismatch for Study Abroad and Visa From West Bengal

When a student from Kolkata, Durgapur or Siliguri applies to a university in the UK, Canada, Australia, Germany or the US, every paper is read by people who do not know Indian naming. They see "Subhojit Mondal" on the passport, "Shubhajit Mandal" on the Madhyamik certificate and "S. Mondal" on the degree, and they ask whether these are three people. Inside India an affidavit often settles it. Abroad, universities, credential evaluators and visa officers usually want an official document instead. This page explains which name to build everything around, what foreign evaluators accept, how West Bengal boards verify documents, and when a Gazette of India notification is worth getting before you apply.

Study Abroad and Visa Name Mismatch (Quick Answer)

Abroad, your passport is the master name: English tests, university applications, visa forms and bank accounts follow it. If your marksheets or degree spell your name differently, foreign evaluators usually ask for official proof linking the names, such as a marriage certificate, a court order or another official document. An Indian affidavit may not be enough. A Gazette of India notification, published before you apply, is the most widely understood proof. Declare every earlier name on visa forms.

Why Your Passport Is the Master Name for Study Abroad

Abroad, the passport is the one identity document everyone accepts. Your English test booking, university application, visa, student bank account and health insurance all use it.

So decide early what your passport says, and make sure it is the name you want for years. If the passport itself needs correction, do it before booking any test. See passport name correction and change.

If your passport has only a given name and no surname, some countries treat that differently on visas and tickets. See adding a surname in your passport.

English Tests

IELTS, TOEFL and PTE: Book in the Passport Name

English test providers usually ask you to register with the identity document you will bring on test day, and for students from India that is normally the passport. The name on the test report then follows the passport.

Book exactly as the passport prints it: same spelling, same order, nothing added. A mismatch between booking and ID can stop you at the test centre.

If you change your passport later, contact the test provider before your next booking, and keep the old score report with proof of the name change.

Evaluators

What Foreign Universities and Credential Evaluators Accept

Universities and credential evaluation services (the bodies that convert Indian marks for foreign admissions and jobs) compare your academic records with your passport. When they differ, they ask for proof that you are the same person.

Evaluators typically list documents such as a marriage certificate, a passport, a court order or other official documents. ACEI, for example, says it needs official documentation connecting the current and previous names, and prints the name on your academic records on its report.

An Indian notary affidavit is a statement you made yourself, and many foreign bodies do not treat it as official proof. A gazette notification, published by the government, is far easier for them to accept.

Verification

How West Bengal Boards Verify Your Documents for Foreign Institutions

Foreign universities and evaluators sometimes ask the Indian board directly to confirm your marksheet. WBCHSE, for example, verifies results only on request from an organisation, not from the student.

WBCHSE's notice says the institution writes to the Deputy Secretary (Examination) at Vidyasagar Bhavan, Salt Lake, with your name, roll number, year of passing and an attested copy, and pays Rs 200 for educational purposes or Rs 500 for employment, with about 15 working days for the report.

The board will confirm the name it has on record, not your passport name. That is why the link document matters. For degree records, see degree certificate name correction.

Visa

Name Mismatch on Student Visa Forms

Visa forms usually ask for any other names you have used. List every version that appears on your documents, including spelling variants, maiden names and short forms.

Leaving out an old name that appears on your marksheets can look like hiding something. Declaring it, with proof, looks like what it is: an Indian spelling difference.

Married students applying with a spouse should check that the marriage certificate and both passports agree. See passport name change after marriage.

Fix at Home

Fix What You Can in India Before You Apply Abroad

Some gaps can be fixed at the source: a board error against the school register, a degree spelling the university can correct, an Aadhaar or PAN you can update. Do these before applying, because foreign offices cannot do them for you.

For school records, see marksheet and school certificate name correction. For CBSE or ICSE, see CBSE and ICSE marksheet name correction.

If you are taking an education loan, the bank will check the same papers; see education loan name mismatch.
