EPF Transfer Claim Form 13 Name Mismatch in West Bengal
When you change jobs, Form 13 moves your PF from the old member ID to the new one under the same UAN. A transfer is rejected when the two member IDs do not agree on your name, date of birth or father's name, a reason claim guides list as "member details mismatch". EPFO made transfers faster in April 2025, and members with an Aadhaar-validated UAN can now self-correct many details. This page shows which record to fix, and how, before you file the transfer again.

EPF Form 13 Name Mismatch (Quick Answer)
A PF transfer fails when your old and new member IDs show different names or dates of birth. Open Service History on the member portal to see which ID is wrong. If your UAN is Aadhaar-validated and was issued after 1 October 2017, correct the profile yourself without documents; otherwise use the joint declaration through the employer of the wrong ID. Then file Form 13 again. It is free.

| Where the mismatch is | Fix |
|---|---|
| Old member ID has the wrong name | Joint declaration with the old employer |
| New member ID has the wrong name | Current employer corrects it |
| Aadhaar-validated UAN after Oct 2017 | Self-correct on the member portal |
| Old employer has closed | Joint declaration routes for closed employers |
| Two UANs in two spellings | Correct one, then transfer or merge |
How an EPF Transfer Through Form 13 Works: One UAN, Many Member IDs
Every job gives you a new member ID, but you keep one UAN. Form 13 asks EPFO to move the money from the old member ID to the new one.
On 25 April 2025 the Ministry of Labour said EPFO had revamped Form 13 so that a transfer approved at the source office no longer needs approval at the destination office. It said more than 1.25 crore members and about Rs 90,000 crore of yearly transfers would benefit, and that taxable and non-taxable parts would now be split for TDS.
Faster processing does not fix a mismatch. If the two member IDs disagree on who you are, the claim can still come back.

Why an EPF Form 13 Transfer Is Rejected for Member Details Mismatch
Claim guides list rejection reasons such as "member details mismatch" and date of birth does not match. In plain words, the old employer typed your name or birth date one way and the new employer another.
Common examples are a short name in one ID and the full name in the other, a missing middle name, a wrong father's name, or a married woman's maiden surname in the old ID and married surname in the new one.
Each of these is a correction in one member ID, not a gazette matter.
Find Which EPF Member ID Has the Wrong Name in Service History
Log in to the EPFO member portal and open Service History. It lists every member ID under your UAN with the employer and dates. Compare the name, date of birth and father's name shown for each with your Aadhaar.
Also check your Aadhaar and PAN. If Aadhaar is wrong, correct it first; see name change in Aadhaar.
Write down which ID is wrong before you contact anyone.
Self-Correct Your EPF Name Without the Employer (Aadhaar-Validated UAN, 2025)
EPFO announced on 19 January 2025 that members whose UAN is validated through Aadhaar can update their name, date of birth, gender, nationality, father's or mother's name and dates of joining and leaving themselves, without uploading documents.
The exception is a UAN issued before 1 October 2017; those still need the employer to certify the change.
If you qualify, correct the wrong member ID's details on the portal, wait for it to show, then file the transfer.
EPF Joint Declaration When the Old Employer Must Approve
If you cannot self-correct, the route is the joint declaration, signed by you and the employer of the member ID that is wrong, with proof such as Aadhaar or PAN.
If the wrong name is in your current ID, ask your current employer. If it is in an old ID, the old employer must sign. If that employer has closed, EPFO has other routes; our EPF guide explains them.
A married woman correcting her surname should add the marriage certificate; see marriage certificate correction if it has an error.
Filing EPF Form 13 Again After the Name Correction
Once both member IDs show the same name and date of birth, file the transfer again online through the member portal. Choose the right previous member ID.
Make sure your date of exit is marked for the old ID; a transfer cannot go from an ID that still looks active.
If the transfer is stuck after the correction, raise a grievance on EPFiGMS with the claim ID.

EPF Form 13 Name Mismatch: Frequently Asked Questions
Why was my EPF transfer rejected for name mismatch?
Because your old and new member IDs show different names or dates of birth. Correct the wrong one, then transfer again.
How do I see which member ID has the wrong name?
Check Service History on the EPFO member portal and compare each ID with your Aadhaar.
Can I correct my name without my employer?
Yes, if your UAN is Aadhaar-validated and issued after 1 October 2017. Older UANs need employer certification.
What changed in Form 13 in 2025?
EPFO's April 2025 change means a transfer approved at the source office no longer needs destination office approval.
What if my old employer has closed?
EPFO has routes for closed employers; see our EPF name correction guide.
Do I need a gazette to fix a transfer mismatch?
No. It is a correction in a member ID.
Should I change Aadhaar to match my old PF name?
No, unless Aadhaar is the wrong one. Fix the PF record instead.
My old ID has my maiden name. What should I do?
Correct it through joint declaration with the marriage certificate, or self-correct if eligible.
Does the date of birth also need to match?
Yes. A date of birth mismatch is also a rejection reason.
What is an exit date and why does it matter?
It marks when you left the old job. Without it, the old ID may look active.
How do I complain if the transfer is stuck?
Raise a grievance on EPFiGMS with your claim ID.
Can I get free legal help if my PF is stuck?
Yes. The District Legal Services Authority in your district gives free legal aid to eligible people.
