Name Change in ESIC Records in West Bengal: Match Aadhaar First, Then the IP Record
Your ESIC record carries the name your employer typed when it registered you. ESIC now seeds Aadhaar into that record, and a record whose name, date of birth or gender does not match Aadhaar is not seeded and goes to the Branch Office for approval. This page shows the right order: fix Aadhaar if it is wrong, then correct the Insured Person details through your employer, the IP portal or the Branch Office.

Name Change in ESIC Records (Quick Answer)
To change or correct your name in ESIC, first make sure your Aadhaar is right, because ESIC seeds Aadhaar only when the name, date of birth and gender match. Then ask your employer to edit your Insured Person details on the employer portal, or use the IP portal, or visit your ESIC Branch Office with documents. ESIC charges no fee; an Aadhaar name update is commonly Rs 75.

| Problem | Usual fix |
|---|---|
| ESIC record spelt wrong, Aadhaar right | Employer or Branch Office edits the IP record |
| Aadhaar wrong, ESIC right | Correct Aadhaar first under UIDAI rules |
| Aadhaar will not seed | Details differ; Branch Office approves after checking |
| Married woman, new surname | Update Aadhaar, then ESIC with the marriage certificate |
| Spouse to be added after marriage | Add as family member with proof |
Where Your ESIC Name Comes From: Employer Registration and the e-Pehchan Card
The Employees' State Insurance Corporation covers workers in factories and establishments for medical care and cash benefits. When you join a covered employer, the employer registers you and you get an Insurance Number, and with it an e-Pehchan card.
The name in that record is what your employer typed. If the HR clerk took it from an appointment letter, a school certificate or a handwritten form, it may not match your Aadhaar letter for letter.
That small difference stays hidden until ESIC tries to match your record with Aadhaar, or until you or a family member need treatment or a cash benefit.
The same thing happens with Provident Fund, which is a separate record; see EPF and UAN name correction.
ESIC Aadhaar Seeding: Name, Date of Birth and Gender Must Match
ESIC's user manual for Aadhaar seeding says that for successful validation, the demographic details stored in ESIC must be the same as those received from UIDAI. If they are not, a reference number is generated and the request is forwarded to the Branch Office for approval.
ESIC's circular No. N-16016/1/2023-Bft-II dated 6 August 2024, on bulk seeding by employers, is plainer still: in case of mismatch, Aadhaar will not be seeded.
So a wrong spelling in either record does not just look untidy. It blocks the link between them.
Fix Aadhaar First or ESIC First? The 2024 ESIC Circular Explained
The same 2024 circular gives both tracks. If you want your ESIC details changed to match Aadhaar, you can do it through the IP portal or employer portal, or contact your ESIC Branch Office with documents. If Aadhaar itself is wrong, you correct it under UIDAI rules.
So decide which one is right. If Aadhaar is right, correct ESIC. If Aadhaar is wrong, correct Aadhaar first, then ESIC. Never change ESIC to match a wrong Aadhaar.
Remember Aadhaar allows a name change only twice in a lifetime. See name change in Aadhaar before you spend one.
Changing Your Name in ESIC Through the Employer Portal
In practice your employer usually makes the edit. On the employer portal it finds your record by Insurance Number, updates the details and uploads supporting documents. ESIC then checks them.
ESIC's 29 January 2026 circular on updating Insured Person details and photographs describes the same pattern: the employer verifies the details and the request is forwarded to the Branch Office for final processing.
Give your HR a copy of your corrected Aadhaar, your PAN, and the proof that fits your case. Ask for a printout of your updated e-Pehchan card once it is done.
ESIC Branch Office in West Bengal: When You Need to Go in Person
If your employer will not act, has closed, or the change needs approval, go to the ESIC Branch Office that covers your workplace. West Bengal has Branch Offices across its industrial belts under the ESIC regional set up in Kolkata.
Carry your Insurance Number or e-Pehchan card, Aadhaar, PAN, and the proof of your correct name. Ask for a written acknowledgement.
ESIC charges no fee for correcting your own record. If anyone asks for money to do it, ask for a receipt.
ESIC Name Change After Marriage for Women Workers
A woman worker who takes her husband's surname should first update Aadhaar to the married name, then ask her employer to update the ESIC record, with her marriage certificate as proof.
She does not need a gazette for a surname changed by marriage. If her marriage certificate has a mistake, fix it first; see marriage certificate correction.
Her bank account, which receives any cash benefit, should carry the same name; see bank account name change after marriage.
Adding or Correcting Family Member Names in ESIC
ESIC covers family members as well as the worker. The 2026 circular lists a spouse, dependent minor children, children up to 21 who are studying, and unmarried daughters, among others.
Each family member's name and date of birth are also matched with Aadhaar. A wife added in her maiden name, or a child added with a nickname, causes the same mismatch.
The circular asks for relevant documents and photographs of family members to be uploaded. Keep the marriage certificate and children's birth certificates ready.
Do You Need a Gazette to Change Your Name in ESIC?
Usually not. A typing error is corrected against Aadhaar and PAN. A married surname is proved by the marriage certificate. We say so plainly, though gazettes are our work.
A gazette helps when you have really changed your name, not just corrected it, and need one document that links the old and new names for every office. Adults living in West Bengal can use the Kolkata Gazette Part II route, Rs 1,100 on GRIPS, about 7 days; see gazette name change in West Bengal.
Even then the gazette is supporting proof. You still update Aadhaar, ESIC, EPF and your bank one by one.

Name Change in ESIC Records: Frequently Asked Questions
How do I change my name in ESIC records?
Make sure Aadhaar is correct, then ask your employer to edit your Insured Person details on the employer portal, or use the IP portal, or visit your ESIC Branch Office with documents.
Why will my Aadhaar not seed with ESIC?
ESIC seeds Aadhaar only when the name, date of birth and gender match. A mismatch is not seeded and goes to the Branch Office for approval.
Should I correct Aadhaar or ESIC first?
Whichever is wrong. If Aadhaar is wrong, correct it first under UIDAI rules, then ESIC.
Can I do it myself without my employer?
ESIC allows changes through the IP portal or at the Branch Office with documents, as well as through the employer portal.
Is there a fee to correct my name in ESIC?
ESIC charges no fee. An Aadhaar name update is commonly Rs 75.
I married and changed my surname. What do I need?
Update Aadhaar first, then ESIC through your employer, with your marriage certificate.
Do I need a gazette for an ESIC name change?
Usually not. A gazette helps only when you have really changed your name, not corrected it.
My wife's name in ESIC is in her maiden name. Is that a problem?
It will not match her Aadhaar if Aadhaar is in her married name. Correct it with the marriage certificate.
Is ESIC the same as EPF?
No. They are separate records with separate corrections, though both match against Aadhaar.
Where is my ESIC Branch Office?
Each workplace is attached to a Branch Office. Your employer or the e-Pehchan card can tell you which one.
How long does an ESIC correction take?
It depends on the Branch Office check. Follow up with your acknowledgement number.
Can I get free legal help if my name problem is complex?
Yes. The District Legal Services Authority in your district gives free legal aid to eligible people.
